Be your instructional guide for this lesson. To begin, you will log into your Microsoft 365 account. Create and sending email is the foundation of any email application. An Outlook 365 provides you a way. To do that, connect it to any. Device, wherever you are. You have the ability to create a message in Outlook 365 as easy as selecting the new button on your Home tab, composing your message, and then clicking Send. To begin, you would go to the Home tab. In the new group, you have your new Mail button that you will use. To create a new email message. You also have the option to use. Your keyboard shortcut by just simply clicking in on the keyboard to open your new message window. When you click on the button, you'll choose the first option for Mail, and. Then your dialog box will open up. Here you should see the option to. Enter the email address for the recipient. Of your message, type your subject and. Type the body of your message. Ideally, you want to make sure that. You include the email address for any. Individual or group of individuals that you choose to communicate with when delivering your message. So for the recipient or the person. That you want to focus the email. To directly, you would type their email. Address in the Two line. If there are additional individuals that you. Would like to share the email message with, you have the option to add. Your Carbon Copy or Blind Carbon Copy lines. To be able to add additional email addresses. You can add those lines by simply clicking on Carbon Copy here or Blind. Carbon Copy and then typing in the email address of the individuals that you choose to communicate with. So for this activity, we're going to email one individual, so we're going to type their email address in the Two line. If you've emailed or communicated with that. Individual before, you might see their email. Address popped up when you put your. Insertion point there, or you may be. Able to simply start typing and then. Select it to add it if it recognizes the email address that you're including. Again, if you have individuals, additional individuals you want to include on the email communication, you can add their email address either on the Carbon Copy line or. The Blind Carbon Copy line. The difference between CC and BCC is. Basically who can see that information? So if I type the address in the CC line, the recipient will be. Able to see that that message was also sent to that individual. Normally, we only put email addresses on. The CC line if the person is just receiving the information for information only. And they're not expected to do any follow up action or respond to the message in any way. If we want to share the message. With an individual and not allow the recipient to know that that message was. Delivered to an additional person, we can. Put that email address in the BCC. Line that will allow us to provide a copy of the message to that person without the recipient seeing that that message was delivered to that email address. So if you have additional individuals, you can choose those options. If not, you can just simply type the email address in the two line. The next recommendation when sending an email is to enter a subject. This will allow the recipient to know what is the focus of that email. Without actually having to open and read it. In some email settings, you might also have where a message is blocked if there's no subject line because it's perceived as spam. So it's recommended to always include a. Subject to help ensure that you're clearly communicating what the focus of the email. Is and to avoid it being flagged as a spam communication once you've entered. The email and the Subject the last part of the email message that you need to compose is the body of your message. So you can type what additional information you want to include or share by simply placing your insertion point in the. Body area and typing that message here. Once you've typed the message, you also have the option of adjusting some of. The message formatting by changing the font. Type size and color and by changing. The alignment of the text in your message. To access those options while composing a. Message, you would click on the Message tab or the Format Text tab on the ribbon. Either option will provide you access to those resources. So here I can change the font. Type for content in my message by selecting the text and choosing the font. Type that I prefer to use. I could adjust the font size by changing it here. I could apply bold, italics, underline, or strike through. I could also change the font color to any preferred color I desire. Any of these options can be used again. You can go to the Format Text tab, or you can go to the Message tab and access those same options in either location. I also have the option to include. Either attachments or links to my email. If I want to provide additional information. And. I have the ability to adjust. The paragraph formatting by either adding bullets numbers, adding indention options, or changing the alignment option. These options will be available either on. The Format Text tab or the Message. Tab that will give me the ability. To make those adjustments. Once I have completed either entering the. Email address of the recipient or recipients that I plan to send the message. To, added the subject, and completed composing my message, I'm now ready to send. That email message to my intended audience. I have two options to send. I can click on the Send button and it will deliver my message to the intended recipient. Or I can use the keyboard shortcut which is Control Enter, to also send that message. Once I click Send, the message is sent and the message window will close. I can check or confirm that that message was sent by going to my sent folder. And now I should see that that message was delivered by now seeing a copy of it in my sent folder. If I have any difficulty with either entering the correct email address or if. I'm unable to send that message successfully. I should receive a response in my inbox indicating that the message was not delivered properly. If I don't receive that, then hopefully.
